Data Retention & Tax Compliance

We retain your personal information only for as long as necessary to provide you with access to our physical goods and digital downloads. However, please note that we operate within Alberta, Canada, and must comply with federal financial regulations.

The Canada Revenue Agency (CRA) requires businesses to retain all core transaction records, invoices, tax collections, and supporting financial documentation for a minimum of six (6) years from the end of the relevant tax year. Consequently, any personal information tied to a processed financial transaction will be securely kept within our systems for this duration to fulfill our legal audit requirements. Inactive accounts with no purchase history are automatically deleted after two (2) years.

Account Erasure & Data Anonymization

Under Alberta’s Personal Information Protection Act (PIPA), Canada’s federal privacy laws, and international frameworks like the GDPR, you have the right to request the absolute deletion of your personal data.

When you submit an erasure request, we process it as follows:

  • Account Deletion: Your user profile, download logs, and active download tokens will be completely wiped from our live database. Please note: Wiping download data will permanently revoke your access to any digital items you previously purchased.
  • Order Anonymization: Because we cannot legally delete sales invoices needed for tax auditing, your historical order data will be anonymized rather than destroyed. We will permanently strip your name, email address, and exact street address from our sales logs, replacing them with generic tags. Only the transactional amounts, tax collected, and broad geographic regions (province or country) will be saved to maintain our accounting records.
  • Manual Accounting Backups: Any data manually synchronized to our external accounting platforms (such as Wave Accounting) will be similarly stripped of identifiable personal traits, leaving only raw financial totals for bookkeeping purposes.

We respond to all formal erasure and data access requests within thirty (30) days.
